A key handover checklist for small businesses

Start with the doors you control

List the doors, storage areas and other locks that the business is responsible for. Check which are controlled by a landlord, property manager or another organization. A key handover should distinguish the hardware you may authorize work on from hardware managed by someone else.

Record keys without publishing security details

Keep an internal record of which authorized people hold the relevant keys and who is responsible for returning them. Store that record securely. Keep detailed key maps, access codes and sensitive site information private; a first call only needs the basic service problem.

Review changes in access

Staff departures, changes in management and missing keys can create a reason to review access. Discuss whether compatible locks can be rekeyed and whether worn hardware should be assessed separately. Do not assume that recovering one key means all copies are accounted for.

Coordinate the visit

Choose the person who can approve the scope and be present. If the property is leased, establish any permission needed from the owner or manager. Make sure the affected areas can be accessed and that any disruption to routine business access is understood.

Handover checklist

  • Identify the locks and the person responsible for each area.
  • Confirm which keys have been returned or remain unaccounted for.
  • Separate physical-key changes from digital-account or code changes.
  • Record the scope of any authorized lock work.
  • Update the internal key record when replacement keys are distributed.

Specialist systems need specific support

Master-key and electronic systems vary. The model, existing arrangement and required work need to be discussed rather than inferred from a general service page. Avoid altering emergency-exit or specialist hardware without confirming the appropriate service.
